Populating the Project Spreadsheet for Importing

Projects should be the third data set that you import when getting started with Base Builders, and must be imported and processed prior to Phases and Time.

Each column of the spreadsheet is pre-mapped to data fields within the Base Builders system. You are welcome to leave columns and/or cells blank but do not delete or add any columns. Simply copy your data from whatever system(s) you are currently using and paste it into this spreadsheet. Keep the header row with field labels that will be used when importing.

Number: Project numbers can be alpha-numeric, there is no limitation on the characters you choose to use. We recommend that you keep your numbers simple and limit them to 8 characters. However, you are free to do as you choose.

Most Important: The Client name needs to be an EXACT match with the Companies you import in order for the Projects to be linked with the company. "Base Builders LLC" and "Base Builders, LLC" are not going to match up because of the comma in one and not in the other. We need these to match so we can properly link your client from the Company table to the Project.

Date: This is the date you got the contract for the project.

Status: There are only 3 valid statuses that you can use - Active, Hold, and Done.

What are Segments? Segments are ways for you to track your projects. You will be able to search, sort, and report by the various Segments you choose to set up. You can have, and import up to 12 segments. In the sample above Segment 01 is being used to track the building type and Segment 03 is tracking the jurisdiction that the project will be built in. Common segments we have seen from our clients include Funding Source (Private, Federal, State, County, School District, etc), Region, UBC Construction Type, Delivery Format (Design-Build, Plan Spec, Design Assist, Plan Review, etc). Once you have a history of data you will be able to identify your most, and least, profitable segments.
