Parsing Spreadsheet

When you export your Clients & Jobs from QuickBooks the data will be concatenated together into a single string such as this: ClientName:JobName and the job name may look like this 15001 - Sample Project One. You will need to parse this data out into separate pieces or columns. We have built this 2-tab spreadsheet to do the work for you.

Tab 1- used to parse 2 pieces of concatenated data

You will paste the concatenated data into the first column and then copy the formulas down in columns 2 and 3. Next, you will enter the characters that can be identified as the separating text string. In this case, it is a space hyphen space string. Finally, you will then copy the resulting column data from Part One and Part Two and then carefully paste the results, not the formulas, into the Project spreadsheet. Use "Paste Results" rather than the standard "Paste" - it is the clipboard icon with 123 on it to indicate the resulting values.

Tab 2 - used to parse 3 pieces of concatenated data

You will paste the concatenated data into the first column and then copy the formulas down in columns 2, 3, and 4. Next, you will enter the characters that can be identified as the separating text strings. In this case, it is a colon for Part One and a space hyphen space string for Part Two. Finally, you will then copy the resulting column data from Part One, Part Two, and Part three, and then carefully paste the results, not the formulas, into the Company and Project spreadsheets. Use "Paste Results" rather than the standard "Paste" - it is the clipboard icon with 123 on it to indicate the resulting values.
