Contacts should be the second data set that you import when getting started with Base Builders. This will go into what we think of as your Address Book. The Address Book is made up of four sets of data, Companies, Contacts, Addresses, and Numbers. Each Contact can have many linked Contacts, Addresses, and Phone Numbers. When importing you will be able to import up to four phone numbers. No address will be imported for Contacts but you can add them later directly into the system. There is another spreadsheet that will be used to import your Companies.
Each column of the spreadsheet is pre-mapped to data fields within the Base Builders system. You are welcome to leave columns and/or cells blank but do not delete or add any columns. Simply copy your data from whatever system(s) you are currently using and paste it into this spreadsheet. Keep the header row with field labels, it will be used when importing to verify the field mapping.
Please carefully review your data prior to importing. We do not want you to end up with a bunch of duplicate data. When gathering your data watch out for duplicate contacts with different names for the same person such as Will & William, or Bob and Robert. When you process the data into our system you will be prompted to create your own personalized labels for the four phone columns. Then each number entered in each column will be labeled so it is easily identifiable. So if you prefer the title of Mobile rather than Cell, you will get to make it fit your style.
Most Important: The Company name needs to be an EXACT match with the Companies you import in order for the Contacts to be linked with the company. "Base Builders LLC" and "Base Builders, LLC" are not going to match up because of the comma in one and not in the other. You can still import the Contact if there is not a matching company name, however, they will be orphaned until they are manually linked with a company within the system at some later time.
