Under Access, you will create Access Groups. All users, or staff, assigned to a particular Access Group will share the same access and privileges.
There are three levels of Access Groups: Financial, Production, and Limited.
Financial Access Groups can be granted access to all areas of the solution. This is the only level that can access financial information within the system.
Production Access Groups can be granted access to all non-financial areas of the solution.
Limited Access Groups are intended for interns and entry-level production personnel such as drafters. There are only a few modules that these users can be granted access to.
If you select an Access Group from the list, you will see that granted items in the bottom pod and the assigned users in the list to the right. To edit an Access Group, click the edit pencil in the header of the granted items pod. To create a new Access Group, click the plus button in the header of the Access Group list.
Creating Access Groups
When you click the Plus Button to create a new Access Group you will first be prompted to select the User Level.
Editing Access Groups
This edit window is also used when creating a new Access Group. More about this window is explained below this screenshot. This screenshot is for a Financial Level Group, other levels vary slightly.
Use the toggle under the column labeled A for Access to grant or remove access for the named module. Click the appropriate radio button to set the privilege for each module. R grants read-only access, E grants create and edit access, D extends the access to include deleting rights.
Note the color-coding:
Blue items (modules) correspond to the blue interface pages. These items do not expose company financial information such as fees and profits.
Green items correspond to the green interface pages and will expose financial information depending upon the module.
Purple items will also expose staff pay rates either directly or indirectly.
So be careful as you grant access to the different modules, especially if you wish to keep financial data private.
You can create as many Access Groups as you feel is necessary. Most users create one group for each staff role, but some go as far as creating a custom Access Group for each user.
You may also want to grant access to system settings. This can be done on the second panel (not available for limited access). The system assumes that all users who have access to settings will need creating, editing, and deleting privileges. Simply toggle the button to on or off as you see fit.
